Hosting and attending a virtual event is not a new concept born out of the rise of remote working in 2020. What’s new is that we’ve come to realize how we can stay connected through Microsoft Virtual Events with SharePoint development. Teams. In this article, I’ll tell you about the essential features of live events in Microsoft Teams and give you valuable tips to ensure the success of your next live event.
Who is on your virtual event team?
It is important to know the different roles that make up the team of a virtual event. Each member plays an essential role.
Organizer: This is not the host of the event. This is the person who creates the event, establishes and sets permissions, invites the event team, and provides the event link.
Producer: This role is responsible for managing the start and end of the live event, monitoring and managing the content queue, facilitating behind-the-scenes conversations and/or Q&As. Note: the organizer and the producer are often the same person.
Presenter(s): This role is responsible for content and presentation. He can present audio or video content and can share his screen with participants.
Moderator: The role of the moderator is often overlooked. It facilitates questions and answers and ensures that participants remain attentive.
Set expectations for the Microsoft live event experience
It’s important to understand and be aware of the kind of experience a live event provides in Microsoft Teams. To do this, you need to ask yourself several questions:
What type of event will you produce and what type of experience will it have for attendees?
Whether you’re hosting a single event or an event in a Microsoft Teams series, the live events platform is a reliable platform to deliver that event. If you are looking for community engagement, you can organize this type of event, but the experience may be disappointing for participants who want to be able to communicate verbally with other members of the community.
Live events in Microsoft Teams offer a more formal type of event. Participants cannot communicate verbally with other participants or presenters. However, that doesn’t mean they don’t have any way to communicate. The Q&A panel allows attendees to make comments and/or send questions during the live event. You can disable chat between attendees in Microsoft Teams live events, but what’s the point?
How many attendees will there be and how long will your event be?
If you’re expecting up to 10,000 attendees and your event is no longer than four hours, then the Microsoft Teams Live Events platform is for you! Also note that a Microsoft 365 tenant can host up to 15 concurrent events.
How to set up a live event
1st stage _
From the calendar in Teams, click the drop-down menu next to New Meeting, then select Live Event.
2nd stage _
Set the title, date, time, and team member roles. This is where it is useful to know in advance who is doing what. When you have completed these fields, click Next.
3rd step _
Define who will be able to access your event using the following permissions:
Contacts and groups: This option will only allow certain contacts, contact groups or Microsoft 365 groups that you have identified.
Organization-wide: This option will allow everyone in your organization to watch the event.
Public: this option opens your event to everyone. Note: Check your company policies as this option may be disabled.
4th stage _
How will you produce your live event? Before moving on to programming the event, you will need to identify the following production elements:
Will you be using Microsoft Teams or an outside app?
Recording made available to producers and presenters. Available up to 180 days after the event.
Registration for participants.
